How a VA can help you get your bookkeeping basics right

How much did your expenses come to this month?

Did your income for the month cover these costs?

You may think that these are two very simple questions. So it may surprise you that many business owners can’t answer these. Or maybe you’re wondering if you can answer this question accurately or have a good idea.

As your VA, I aim to understand what is working well for your business and what is not and how much you know about your income and expenses.

Why does tracking your income and expenses matter?

After putting so much hard work and time into your business, the last thing you need is for it to fail just because these very simple everyday basics were not in place. You are busy doing what you have chosen and are bloody good at it too! The admin takes up a whole lot of your time. It stresses you out and doesn’t earn any money. It’s much easier to sweep it under the carpet and pretend it has gone away. The thing is, it does not go away, and that pile of paperwork is getting bigger and even more overwhelming, and it is going to take forever to get it sorted!

It is important to know how much money you need to bring in each month to cover the essential costs of running your business. This is before you even think of paying yourself for all your hard work.

Getting invoicing right

You need to make sure that your invoice templates are in the correct format. I don’t know how many invoices I have seen that do not even have the word invoice on them, never mind an invoice number, and then they’re not sent out as a PDF. Don’t even get me started; believe it or not, it really does matter. If your invoices, statements, proformas or quotes are sent out in Word, the person receiving this could change it. You definitely do not want to have that issue. So please, please be mindful.

Then you need to send out your invoices, be it immediately, weekly, or monthly. Then you must make sure that payments are made and reminders are sent out if payment is not made within your agreed terms. You do have terms and conditions, don’t you?

How a VA can help

If your business has really taken off and you are busy, it makes sense to find a VA if your budget allows it. It is important to find one you trust. This person can look out for you and will support you to achieve your goals as you build up your working relationship). Just a few hours a week could make a big difference to your business and your work-life balance.

A client once said to me that he had got in touch with me as he had been given some advice by one of his clients, a retired accountant. It had made him think hard about what was happening in his business.

He had told him:

Don’t be too busy being busy that you don’t have a business.

Now go and get some help with your bookkeeping!

Case study: writing a blog for Goldfinch Marketing’s client

One of my favourite things about my work is the chance to learn about the different ways that creative people work. I loved art at school, but I know that there are artists and designers out there that are far better at creating visuals than I am. Hand me a pen and a notebook, and I’m happy. I don’t panic in the face of a drawing pad and pencil, but I might not show the results to anyone. It makes me happy when I see work from people who can make stuff look beautiful.

This means that I was thrilled when I met Christina from Goldfinch Marketing. She creates gorgeous designs, and she’s also brilliant at techy stuff. It all comes together in beautiful websites that Google will love as much as your customers do. She’s also very good at writing; in fact, she’s so talented I would hate her if she wasn’t also lovely.

This may have you wondering why she’d need me, a writer when she’s already good at writing. Read on…

The pandemic

I met Christina during lockdown when everyone was virtual networking; some of us were home-schooling too. She’s based in Dorset, so the chances of us running into each other in person were virtually non-existent. Like many of us, Christina had taken some time during lockdown to evaluate her business and work out what she wanted to spend her time doing.

She’d started Goldfinch Marketing to help her clients with all their marketing needs, whether that was a new website, graphic design or content writing. Her review told her that she loved web design and graphics work but didn’t want to do content writing anymore. That’s where I came in.

The project

Christina had gradually reduced the amount of content writing she took on, but she still wrote blogs for one client. She told me they were lovely people she enjoyed working for and didn’t want to let them down. At the same time, she wanted to free up some time for other projects, so she wanted to see if I could take over writing a blog for them.

Of course I could. Writing their blog was right up my street; they’re a business offering a professional service, so they needed to share their expertise but didn’t want to be stuffy. I read the posts that Christina had already written to follow the same style and suggested some new topics. I also wrote social media edits for each blog post so that the individual paragraphs would work as standalone posts. The client was still happy, and Christina had time for other things.

What could working with a VA do for your business?

As a VA I offer admin and bookkeeping support but what does that mean for you? All my clients need different support from me because no two clients are the same and every client’s business is different therefore every client needs different support. What could working with a VA like me mean for your business and how can I explain it?

What are your strengths?

Everyone has weaknesses and strengths including me, I have a client who thrives on her To-Do List and religiously ticks things off this keeps her on track, helps her strive towards her goals and improves productivity

Another client does write a To-Do List but never really gets round to ticking things off, however, she thrives on her financial goal that we set and this keeps her on track and wants it to be up to date at all times this gives her the motivation and determination to reach her goal

Some business owners know exactly what money is coming in and also what money is going out so they have a good idea of the basic income needed to keep their business afloat. unfortunately, there are others who have absolutely no idea what money is coming into the business or how much money is going out. Some think because they’re so busy being busy that that means that they must be making a lot of money sadly this is the reason a lot of small businesses fail.

So how do I work with my clients?

I get to know my client and understand their business

I get to know what they are struggling with, what their weaknesses are and the problems they are struggling with, and we talk about how I can help resolve these.

More importantly, how can they use their time more wisely and what tasks can I do that give that client back the time to actually do the business and what they have chosen to do, most business owners are quite capable of doing their paperwork, but it is time consuming and uses up time and energy when they could actually be earning an income  

I offer accountability by working as a team, setting up a plan and goals.

I help them set up a structure that works for them encouraging habits and routine

I will tell them what I need from them in order for them to stay on track and grow and what I need in order for me to support them

I sometimes pull my “really” face just roll my eyes and say excuse me but where is ABC that I need from you?  Laughter can help loads too, running a business is tough and demanding and sometimes clients just need that support to lighten the mood as well as the load.

What do I get out of it?

For me what do I achieve?  I do work I enjoy, seeing my clients happier, less stressed and having family and leisure time back brings me joy. I see their business growing and a more sustainable solid cash flow allowing them to enjoy the success of their hard work.

I know that I’m doing my role the best I can.This makes all the effort and hard work worthwhile.

Writing website content: how you can get started

First, a disclaimer. I know a lot about writing website content, but not so much about the techy side. Let’s just say I know what I need to do to keep everything ticking over. If you want to know how to build a website there are lots of DIY guides out there, or you could just talk to my good friend Clare McCabe at Purple Star Design. She’s ace. So, if you’ve got the technical basics sorted, here’s how you can get started with writing your website content.

Work out what your website needs to do and who it’s for

This might seem obvious, but your website design depends on who you’re trying to reach and what your business does. If you have an ecommerce business you’ll need a shop, product descriptions and a way to take payment. Your website is an amazing tool to help you generate new leads. If you offer a service and get work mostly from referrals you might only need a brochure site that shows your expertise. As with everything in marketing, the language you use depends on who you want to talk to.

Start with basic keywords

Even if you haven’t gone down the SEO rabbit hole yet, it’s worth thinking about keywords early on and getting your site set up to include them from the start. You can keep this simple to begin with. What words might your customers use to find you? This could be the service itself (i.e., hairdresser) or a type of product (children’s clothes). They might ask a question that leads them to you even though they don’t know the name of your service. Start like this and you can build as you go.

Show visitors they’re in the right place

When a new visitor finds your website, you’ve only got a few seconds to make an impression. Your home page is likely to be the main entry point so make sure they know what they’re getting from the start. Share the most important information first and keep it clear and concise. If you have a lot to say on a particular topic, create a separate page and invite visitors to click through if they’re interested.

While I’m at it, keep your page titles simple and clear. You’ll lose visitors if they can’t find what they want because you’ve called it something obscure or overly clever.

Share the transformation

I could write reams on this (and probably will) but the most important thing about writing website content is that is needs to engage your visitors’ emotions. They’ve landed on your website because they’re looking for something. Whatever it is, there is always an emotional need as well as a practical one. It could be wanting to buy someone the perfect present or feeling desperate because their baby won’t sleep. Show them that you understand where they are and where they could be with your help.

Include a call to action

What do you want visitors to do once they’ve found you? Buy something or book a call for a chat? Make it easy for them to do that. What if they’re not ready to take that step? Think about something they could do that’s less of a commitment, that keeps you in their mind while they’re deciding. Offer them any additional information they might need. Invite them to follow you on social media or sign up to your email list so you can keep in touch.

Case study – creating new content ideas for Birkett Consulting

Case study about coming up with new blog topics.

I first met Ros Birkett via a networking group (which is pretty much how I meet everyone these days). She’s utterly lovely and a brilliant person to have a coffee and a natter with. When it comes to branding and marketing, what Ros doesn’t know frankly isn’t worth knowing. She’s the owner of Birkett Consulting, working with a range of clients to deliver adverting and marketing that gets results. In a nutshell, she knows her marketing onions, which is why it came as a bit of a surprise to get an email asking if I could help her to come up with some topics for her blog.

The challenge

When Ros got in touch, Birkett Consulting was in the midst of a website makeover. All of this was happening alongside the day-to-day work involved in running a busy agency and serving clients. There was also the small matter of getting to grips with an in-depth SEO analysis report for a client that ran to over 100 pages. Ros was faced with two main challenges. Firstly, that she was struggling to find blocks of time that would allow her to focus on website tasks. Secondly, all the topics she was reading about seemed a bit predictable. She wanted some fresh ideas that would help her to get the messaging right as we emerged from lockdown.

The solution

To start the process, Ros and I arranged a Zoom call to talk through Birkett Consulting’s marketing basics. She described her customers and the services that she wanted to focus on in the blog. Ros’ awareness of her customer base meant that I could focus on the topics that would have most impact. We also talked about bringing a bit of humour back into marketing to lighten things up after lockdown.

After our chat, I went away and came up with four possible topics using a combination of tools, including my own random marketing thoughts. I’m looking forward to seeing the results when the new website launches.

Ready to outsource? How you can find the right people

Outsource by finding the right people.

Making the decision to outsource some of your business tasks is one thing. Finding someone you’d actually trust to do the work is quite another. If you’re looking for a full time employee you might be better off hiring someone to find suitable candidates. However, more and more businesses don’t want the hassle. It may even be that you only need someone for a couple of hours a week, or to work short term on a specific project. A freelancer with other clients is the ideal solution. But how do you find the right one?

Sole trader v Agency

Agencies or larger businesses are ideal if you’ve got a specific project or need help with a range of different things. There are agencies of all sizes, including some that are run by sole traders. The difference between an agency and one sole trader is that the agency will have built a team of people who can cover a range of different things and will manage them all for you.

Sole traders are great if you don’t need to outsource to lots of different people. For example, you might already have a designer who’s created your new website, but you need someone to write the copy. Managing two freelancers is relatively easy – it gets trickier if you need five or six different specialities.

Getting recommendations

When it comes to finding the right person, getting a recommendation from someone you trust is by far the best option.  You can get a personal recommendation based on their own experience so you can outsource with confidence. Of course, it’s worth bearing in mind that their needs might not be exactly the same as yours and their approach to work may be completely different.

Networking events have been invaluable for me in finding people to work with. My main memberships focus on relationship building so I’ve got to know a range of people and discovered who I get on with. Then when I need a particular service I’ve often already got someone in mind.

Personality is key

Whilst access to specialist skills is one of the main benefits of working with a freelancer, you’ll still need to consider whether their personality fits with yours. This not only makes the working relationship easier, it will get you better results. No matter what work you’re planning to outsource, communication is the key to getting it done well.

I’ve met and worked with all kinds of different business owners, but they all have one thing in common. I’ve found it easy to build a rapport with them. When I’m choosing service providers for my own business the only difference between two equally qualified people has often been that I like one better than the other.

Selection

Of course, there’s more to it than personality. It’s important to be upfront about what your budget is when you’re talking to people. This enables them to tell you whether you need more funds, to adjust your expectations. They might also be able to recommend someone else. It’s a waste of everyone’s time if a freelancer takes the time to prepare a quote only for you to find it’s double what you can afford.

Also, think about whether their working style is a good fit. You may simply need someone who gives you regular updates or uses resources that allow you to check progress. If you’re looking for coaching I’d also recommend looking at their whole approach. Some coaches help you to become more personally effective, others look at your whole business and deliver strategic operations to achieve growth. Which kind do you need?

It’s one of the most common misconceptions about blogging. “Shouldn’t I be writing that myself?” Well, if you’re writing as an individual about your personal life, yes. Otherwise, for most people, no. There are a couple of reasons why writing your own business blog is a good idea (I’ll come to those) but a few others which mean it’s a better idea to outsource. Here goes…

When writing it yourself is a great idea

If you’re writing a personal blog, it should be, well, personal. That probably also applies to influencer type bloggers too. However, if you’re writing a blog for your business it’s not necessarily about you. You’ll be talking about your business but focusing on what your customer needs or wants. However, when you first start out you’ll spend some time finding your way. There’ll be trial and error while you work out what people like and how you want to sound. You might even be working out where blogging fits in your marketing. If this describes you, keep writing. (If you’re struggling to get going because you need ideas, this book is for you.) If you eventually hand your blog over to a writer it’s much better for everyone if you have a clear style that your writer can adopt.

Help with talking to your customers

There will always be trial and error when it comes to blogging, but what if you’ve been trying for ages and getting mostly error? You know exactly what you want to say but it just doesn’t come out right. When you outsource and a writer can take random ideas from your head and turn them into sentences that sound like you (this is where ghost writing gets a bit spooky). The other benefit is that a writer or marketing expert isn’t part of your business. You might see something as boring and routine when it’s exactly what your customer needs to hear about. Sometimes it’s as simple as asking you to explain what’s in it for your customer or helping you to spot the things they don’t understand.

What’s your time worth?

Blogs are slippery little beasts because you never know who is watching. I’ve had new customers tell me that they love my blog but they’ve never visibly engaged with it. I’m telling you this because I know how disheartening it is to slave over a blog and get tumbleweed. It’s even worse if you’ve spent time on it that you could have spent having fun or doing something more productive. The truth is, if your analytics tell you that people are reading, it’s probably working. It builds your profile and it’s hard to put a figure on that. I pay a cleaner because I don’t want to spend my day off cleaning. If you resent the time you’re spending writing get it off your plate and go and play with your kids instead.

How much do you love writing?

If the days, hours or minutes you spend writing content for your business are an absolute joy, keep going. The more you do it, the better you get. If the time came when writing was competing with other things that are important to you, you might have to decide to let it go. If, on the other hand, you sit down to write with a sigh because you hate it, then stop. I know you might have to get some income into your business before you can do that, but you could make it something to aim for. Goals don’t just have to be about income. It could be ‘I want to earn enough to outsource my blog/pay someone to do my filing/ [insert your least favourite task here]’.
